Email Signature

Creating Your Signature:

  1. Fill out your information using the form below, then click “Create Signature” button
  2. Signature preview will be shown below. Double check for spelling and accuracy. If you need to make corrections, you may do so and re-submit the form
  3. If you are satisfied with your signature, move on to the instructions below to add it to Outlook

Adding in Outlook:

  1. Click the Download Signature button below the signature preview; your signature will open in a new tab
  2. Select the signature in the new tab by highlighting it to copy. Do not select the signature in the preview, you musclick Download Signature before copying it
  3. Then hold the keys “Control” plus the “C” (to copy) or right click and select copy
  4. Click New Email
  5. Click Signature, then select Signatures
  6. Under the Email Signatures tab, select New and give your Signature a name. (ex. Natividad Signature)
  7. Now click OK
  8. Under the Select signature to edit box, choose the signature you just named
  9. In the Edit signature (2nd) box, hold the keys “Control”plus the “V” (to paste) or right click and select paste
  10. Click OK
  11. Now, create a new message with your signature and send a test to yourself to assure it is working correctly

Formatting Guidelines:

  • Please do not rearrange any fields or the layout — please use the signature exactly as generated; do not change the spacing, the logo placement, the colors, or the font
  • Check with HR if you are not sure of your title
  • All info will appear exactly as you type it, so be sure to check for spelling, etc.
